Two printing enquiries can look similar while describing different finished products. A useful request states what you need, how it will be used and which choices still need advice. This helps the team prepare a quotation around a defined specification.

Name the finished item

Specify the item rather than asking only for a printing rate. A business card, brochure, product tag, banner and branded diary each need their own description. Explain where the item will be used and whether it must work with an existing set of branded materials. Send a reference if you are unsure what the format is called.

State size, quantity and versions

Give the finished dimensions and the number of pieces required for each item. If there are several designs, branches, names or language versions, list the quantity for each one. For folded work, explain the final format you want. State whether printing is required on one side or both sides, and ask the team to confirm anything you are unsure about.

Share the artwork you have

Send your existing logo and artwork, and identify which file is the final version. If the design is not ready, include the wording, images and brand guidelines needed for design support. Ask the production team for the file requirements for the agreed product; do not assume every print item uses the same specification.

Discuss material and finishing

If you have a preferred paper, material or finish, include it in the brief. Otherwise, explain the intended use and share a reference for discussion. Request that the chosen specification is written into the quotation. Clarify what the price includes so that you can compare the same product across proposals.

Approve the details before production

Check names, telephone numbers, addresses, spelling and the artwork layout carefully. Confirm the quantity, dimensions, material and agreed finish alongside the design. Share your required date and delivery location, then let the team confirm the schedule. Keep the approval message and final artwork together for reference.
